A work order is the same object whoever raised it: the voice agent on a guest call, the front desk, a room attendant on the pad, or an engineer typing in what they found on rounds. It carries the room, the owner and the status, and the team works from one list instead of four.
The voice agent logs a request while the guest is on the line. The desk enters what a guest mentions at check-in. A room attendant flags a leak from the pad in the middle of a clean. An engineer adds what they noticed on rounds. Every one lands in the Engineering queue with the room attached, so nothing depends on who picked up the phone.
Whoever on shift can act on engineering work is notified; there is no named person who happens to be off. A supervisor assigns the order, or reassigns it in one tap when the night engineer takes over. The owner is on the order, so the desk can see who has 218 without a radio call.
The engineer starts the clock on the pad and stops it when the room is fixed. The order records when it was raised, started and closed, so you know how long AC calls actually take and which rooms keep coming back. If you want it, each new order is also emailed to a maintenance address.
Preventive Maintenance runs the inspections on a cadence, and keeps the record.
A PM template says what to inspect, who does it and how often. Lance turns it into scheduled instances: the boiler this month, the pool this week, the rooftop units this quarter. Each instance is a checklist the engineer works through on the pad, and each completion is a timestamped record.
Build a template once: the items to check, the team responsible, the interval. Lance generates the instances on that cadence and they show as due in the facilities view, then in progress, then done. Nobody has to remember that the boiler is due Thursday. It is already on the list, with the items.
Pool chemistry, HVAC, equipment: the reading is logged on the pad with the time and the person who took it. The log is a history, not a clipboard page, so a health inspector or a brand auditor can see every pool reading for the quarter in one place.
If the relief valve fails its check, the engineer raises a work order from inside the inspection without leaving it. The repair goes into the Engineering queue with its own owner and its own clock, and the inspection stays on its cadence. The completion record is what you hand over at a compliance review.

Engineers are not at a desk. The operations pad runs on managed Android tablets in kiosk mode, bound to the hotel, with a login per person. The work order, the PM checklist and the readings form are on the same screen the engineer carries to the boiler room.
The tablet is provisioned to the hotel and locked to the pad. Each engineer signs in with a PIN and sees the orders assigned to them and the PM due today, and only what their role allows. At shift change the next person signs in on the same tablet and gets their own list.
The engineer starts the timer at the room, marks the order done when the AC is cooling, and the desk sees it close the same second. No walk back to the shop to update a spreadsheet, and no order that is fixed but still shows open.
A pool reading or a boiler item is logged from the pad at the equipment, with the time and the name attached. Messages and announcements from the chief engineer are on the same pad, translated for staff who read in another language.

Most maintenance requests start as a phone call to the desk. Lance answers the main line on your existing PBX, recognizes a request for engineering, and logs the work order with the room number while the guest is still talking. The desk never writes it on a sticky note, and the engineer never has to ask which room.
The guest says the AC in 218 is not cooling. The agent confirms it, and the work order is in the Engineering queue with the room and what the guest asked for. The call log keeps the transcript next to the order, so the engineer can read exactly what was said.
A guest who wants to speak to someone, or a problem the agent cannot log, is transferred to the department you mapped for it on your PBX, with the request passed along. Nobody says it twice. If you switch the agent off, calls ring straight to the desk as before.
Each call is logged with a transcript, the actions taken and the outcome. The chief engineer can see which rooms called about temperature this month, so a repeat call is a pattern to fix, not a surprise.
